SANJIESAN LICENSING / File handoff

Send the artwork with a manifest, not just a download link

A download link answers where the files are. It does not explain which file is current, what each file is for or which questions remain open. Add a short manifest to the handoff. The aim is to make the first recipient’s check repeatable when the package moves to another authorised team member.

List deliverables as separate objects

Give every deliverable its exact file name, revision and intended role: editable artwork, print reference or review image, for example. Include a small reference render showing the expected appearance. Avoid naming several different files final. If a linked font or image is deliberately excluded, record that exclusion and the question it leaves for the receiving team rather than assuming their computer will reproduce your setup.

Ask for a check that reveals missing parts

Have the recipient open the package in the intended workflow and compare it with the reference render. Ask them to identify missing links, substituted text and unexpected crops. A successful download is only a transport result. Keep any file permission or usage limitation alongside the manifest; the Hong Kong IP Department describes a licence as permission with defined rights and duties, rather than a consequence of receiving an archive.

Close the handoff with an exception list

Record the recipient’s check and list unresolved exceptions with an owner. If a corrected package is needed, give it a new revision and state exactly what it supersedes. Keep a clear current-package pointer so that the supplier does not select an old archive from a crowded message history. Start the next production stage only when the relevant acceptance and permission conditions have been met.
