SANJIESAN LICENSING / Collaboration inputs

Put existing material and new work on separate lists

A collaboration can combine an established character, an existing layout system and newly commissioned illustrations. Treating everything as “the project artwork” hides important differences. The UK government’s IPR guidance distinguishes existing, third-party and new IP in its procurement context. Use that distinction as a reading aid, then describe the actual inputs in your own project without assuming the public model terms apply to it.

Name what each party brings

Create a short list of materials that existed independently of the proposed work, with their exact references and the party supplying them. Do not infer ownership merely from who emailed the folder. Put uncertain attribution in a question column. A familiar character name and the particular picture selected for the brief should be linked, while still remaining separate records so a later image replacement does not rewrite the identity.

Describe the work that will be created

List the proposed new outputs by task: a front illustration, a short sequence or a set of layout studies. Separate original creation from adaptation of supplied material. Include editable working files where the intended handoff requires them, but do not treat a file-delivery request as a completed rights arrangement. The map should make the question visible to the people agreeing the terms, rather than answering it through a filename.

Follow one output back to its inputs

Pick the proposed final front view and trace which existing image, type resource and new contribution it contains. Ask whether the planned use of each component is understood. A new composition can still depend on existing material, so avoid describing it as unrestricted solely because the arrangement is new. Keep the map with the brief and seek advice on the actual agreement before making promises about reuse or onward supply.
