Do not crop a production proof into a brand reference
A cropped screenshot can lose the information that explains how a print file is meant to be handled. Keep the full production proof and a separate presentation view. They can show the same design while answering different questions for a printer, a brand reviewer and a commercial partner.
Ask which production marks are required
Adobe’s InDesign guidance places printer’s marks outside the page edge for commercial production and asks users to confirm what their print provider expects. Use that as a reason to ask the provider, rather than apply a universal mark preset. Preserve the agreed template, units and export instructions with the project. Do not invent a standard bleed distance for every material or printing process.
Label the two views according to their purpose
Call the complete file a production proof and identify the revision. If a clean image is needed for a partner deck, create a clearly named presentation view from the same revision. Show enough context to explain the intended crop, but keep that view out of the production handoff folder unless the supplier has asked for it. A convenient screenshot should not become the accidental replacement for the specified file.
Check the receiving package against the manifest
Before sending, inspect the actual attachment or downloaded package rather than only the open design document. Match its filename to the manifest and compare a reference render. Ask the recipient to confirm which file enters their next step. If they request a changed export, record that request and issue a new package revision. Keep the artwork decision and export-setting decision separately traceable.
