SANJIESAN LICENSING / Sample handling
A sample leaves for a photo shoot. What should travel with it?
A review sample may move from the development team to a photographer and then return through a different person. Give that journey a simple record before packing. The exercise below supports coordination; any loan terms, liability or shipping arrangements need their own agreement through the people responsible for the actual project.
Identify the specimen and its loose pieces
Record the sample identifier and the visual revision it represents. Photograph the specimen and its loose components on a plain surface before packing, with clear labels for temporary or fragile parts. Count only what is actually present. If the stand, cable or decorative insert is a review substitute, say so; a photographer should not need to discover that difference after arranging the set.
Agree the handling questions before sending
Ask who receives the package, who may assemble it and which handling notes the development team needs to provide. Keep private addresses in the approved shipping process rather than a widely shared creative deck. Clarify the intended shoot date and expected return discussion without promising a carrier result or insurance cover that has not been arranged. Attach a view of how the pieces were packed.
Close the record after the return check
On receipt, compare the returned specimen with the outgoing item sheet. Record missing parts or changed condition with photographs and a named follow-up rather than quietly marking the journey complete. Keep the sample’s physical condition separate from decisions about whether the new photographs may be published. Both questions matter, and neither should disappear merely because the package has arrived back at the office.
