SANJIESAN LICENSING / Production contributors

Describe the production contributor’s task before sharing the artwork

A project team may need another contributor to prepare a sample or a production-related file. The UK government’s IPR guidance notes that transfer and sublicensing questions depend on licence provisions. Before asking what is allowed in the actual agreement, prepare a clear description of the contributor’s task and the material they would need. The description supports that review; it does not answer the legal question itself.

Name one production-related task

Specify the intended activity, such as preparing a sample layout from the selected image. Identify the exact files needed and why they are relevant. Keep unrelated character-library material outside the sharing request. A contributor’s familiarity with the product category does not mean they need every source file. The brief should make it possible to discuss a limited task without turning it into an undefined right to develop additional products.

Make onward questions visible

Ask whether the contributor expects another party to receive or change the material. Record that proposed chain in ordinary language rather than assuming every subcontractor has the same role. Keep who needs access distinct from who decides permission. Any uncertainty about the real agreement should remain with the appropriate adviser or rights team instead of being resolved by a casual file-transfer message.

Keep the task and approved material aligned

After the relevant review, share only through the authorised route and retain the exact version used for the task. If the contributor later needs a different image, a new use or another recipient, describe that change explicitly. Keep sample-making feedback connected to the current reference. This prevents the production conversation from drifting away from the scope that the responsible people actually considered.
