SANJIESAN LICENSING / BUYING GUIDE

Sometimes the useful commission is organising what already exists

A team can have enough strong imagery and still struggle to find the correct character version. Ordering more artwork may increase the problem. Before commissioning new visuals, consider whether the immediate need is a bounded asset-organisation task. Its purpose is to make existing material findable and its status understandable, not to manufacture a claim that every file is cleared or that a new management platform is required.

Define one retrieval task

Describe a realistic question, such as finding the current approved image for a named character and understanding which older images it supersedes. Give the provider a small authorised sample of the existing records. Keep identity, visual version and proposed product references separate. Do not invite the service to rename established characters or merge similar-looking files into a single identity merely to make the catalogue shorter.

Compare the proposed evidence trail

Ask how each record will point to its source, usage status and unresolved questions. An organisation service may catalogue evidence supplied by the owner; it should explain which verification tasks are included and which require another specialist. Compare a representative set of records and the handoff format. More tags are not automatically more useful if they do not help the team answer the retrieval question.

Choose the task that removes the current obstacle

If the team cannot locate existing approved references, a small organisation commission may deserve priority over new imagery. If the references are clear and the project genuinely lacks a needed scene, creation may be the right next task. Keep the proposed service reversible and compatible with the existing library, preserving originals and history. A useful enquiry states the retrieval problem and a representative acceptance example instead of asking for an undefined complete overhaul.
